Review the workstation, not just the chair

A general desk-work review for equipment, task variation and issues to raise with a trained assessor.

STEP 01

Describe the work pattern

Record how long you use the screen, which tasks repeat and where discomfort or difficulty occurs. Include laptop work, phone use and home arrangements. A photograph of a tidy desk cannot show the full working day or a person’s individual requirements.

STEP 02

Review the complete setup

Consider the chair, desk, screen, input devices, lighting and available space together. Follow equipment adjustment instructions. Check whether the screen is easy to read and controls can be reached comfortably without repeatedly twisting or stretching.

STEP 03

Look beyond equipment purchases

Review glare, legroom, cable placement and how work is scheduled. Make room for appropriate changes of activity under your workplace guidance. A more expensive chair does not by itself address a poorly positioned screen or a task that never varies.

STEP 04

Record actions and follow up

Note the issue, proposed change, owner and review date. A trained assessor should review uncertain findings and individual needs. Persistent pain, numbness or other symptoms need appropriate professional assessment rather than an online checklist or a shopping recommendation.

Choose the right next step

  • Laptop used for long periods: review the whole arrangement and suitable separate peripherals.
  • Glare or unreadable text: check lighting, screen positioning and display settings.
  • Persistent discomfort: escalate for qualified assessment rather than repeatedly adjusting at random.

Worked example

A colleague reports difficulty reading a screen and keeps leaning forward. The review considers text size, screen position and lighting as well as seating. The team records an adjustment and a follow-up date, then involves an assessor if the problem remains.
